Minutes of the Committee Meeting held on 8 th September 2009 at 7.30pm
Present: Billy Grix (Chairman), Elliott Ward (Treasurer),Anna Sill (Secretary), Sheila Lough, Nikki Blackett, Sue Richardson, Stephen Trobe, Elizabeth Sylvester, Richard Sill, Martin Keegan, Richard Potter, Stewart Murray, Charlotte Capps.

The Secretary has written to Gladys and Dorothy to thank them for their services to the Committee.

Minutes of meeting on 14 th July 2009 read and agreed as a correct record.
Matters Arising
Tables . These have been purchased and proving very satisfactory.
Hall Passageway Wall. Painting works have been carried out; additional works to area in front of bar to be carried out before the show.
100 Club letters sent out by Stephen.
Treasurer's Report
Elliott delivered his report: copies were distributed and are on file.
The ‘arrears' in the electricity payments was raised – the possibility of changing supplier from N Power to British Gas ( lower tariff) was discussed.
Highlights Productions
Sue R. has contacted local press: Sue is ticket holder and will take verbal orders to be paid for at door.N.B. Other venues are booked locally in general programme i.e not Highlights.
There is to be an interval with various refreshments. Existing stock to be checked. Whisky tots for ‘Whiskey Galore'. Helpers required.
Show
Martin is currently finalising the programme/running order based on the last show.
The bar is to be in the hall(beer/wine/soft drinks)Billy G. To organise soft drinks. Emma and Matthew have offered to be in charge of bar all day.
Hog roast on the patio.
WI providing cakes/teas in village hall.
Stewart & Co. selling cakes/coffees on showground.
Bridge to connect school field with Mrs Blackett's field.
Rides to be situated on school field.
Keith F. To top Mrs Blackett's field.
Billy G.to pen off cattle in Norton's field – Classic cars in this field.
Entry points 2no.- hand stamps to be used.
Traction engine booked (£50 for coal).
Signs – Stewart has a variety –more required.
Programme/sketch layout maps to be distributed; Martin/Charlotte to set up information whiteboard.
PA System – Charlotte needs this for Dog Show – could the system be extended? Martin to discuss with PA provider.
Fun Run – Start at school, finish at back of hall.(Fun runners to pay to come to show).Event insured through Morpeth Harriers.
Tots toddle – t.b.c. – Julie P.may help organise.
Trade stands – Sheila advised all paid.
Classic Cars – Free entry,prize for car of the show,possible loop drive to Ogle.
Prize monies – Sue R. organising.
Helpers – Sheila organising. Door rota required.
Raffle- Stephen organising (Sheila providing tickets)
School liason – Martin organising.
Hedge/verge cutting – Stephen organising.
Setting up – Thursday evening at 7.30 pm.
Bar stocking required.
White board required – Charlotte .
Show rings to be set up on Friday.
Tug of War – to be confirmed (Liz G. Willing to organise).
Tents/Gazebos required.
Face painting t.b.c.
Waste bins – Billy to provide.
Traffic bollards required.
Caravan for secretary at entrance.
Car parking required from 9am
WI on site from 9 am.
Cash Floats – Elliott to organise (£500)
Raffle display by entrance gate if fine –hall if wet – draw at end of fun run (3.30 pm.)-Richard P. suggested ‘silent' draw list to be announced and posted.
Morpeth Art Group – Stewart advised that the group will man a stand of 3no 6x8 boards displaying art works which could be sold(5% to show funds) Show entry payment required. Billy to provide chipboard boards which will be placed against the hall rear wall on Friday.
Emma available to help all day on Friday.
Poster distribution and additional volunteers on the day –Martin requested help with both of these.

Village Hall Consortium –Sue R. outlined details which will be circulated by Anna. It was agreed to join the group at a cost of £10 per annum.
