Minutes of the Committee Meeting held on 14 th July 2009 at 7.30pm

Minutes of meeting on 16 th June 2009 read and agreed as a correct record.

 

Matters Arising

Treasurer's Report

 

Elliott delivered his report: copies were distributed and are on file.

 

Bale Fire

 

The event was deemed a success and the bar takings were £108 approx.

 

 

 

 

Tables

 

Billy said that possible alternative table/chair sets had been located at Ikea, however

Sheila has already seen suitable tables in Brampton .

•  The tables are to be suitable for card playing

•  Total spend approx £80 x 8 no.

•  Sheila to advise Elliot of details for on-line purchasing

•  Elliot confirmed that VAT is payable

Richard Potter offered to dispose of the old tables after the show

 

Hall Passageway Wall

 

Sue raised the issue of damp and marks to the wall – Billy and Richard G. concurred. It was agreed that opening of the windows to permit a through flow of air would generally be beneficial to the whole premises: action re. this would be discussed with Emma.

 

Autumn Events – Highlights Productions

 

2 new N.C.T productions are booked for the autumn: both are suitable for families.

•  “Whisky Galore” on Saturday 10 th October at 7.30 p.m. Duration – 45 mins x2 with 15 min. interval. Ticket prices £4 children, £20 families, £8 adults. Raffle prize possibly whisky and/or tot of whisky with adult ticket.

•  “Last Snow Rider” on Thursday 3 rd December at 6.30p.m. Ticket prices £3 children/concessions, £15 families, £6 adults.

 

 

Show

•  Billy raised the matter of possible insurance in the event of inclement weather – Elliot advised that this was not feasible.

 

Sheila outlined progress to date –

 

•  Simon Glancey – Large poster/board being organised

•  Fliers – being distributed

•  Marquee – 1 no. booked (£800 approx)- flexible size

•  Burger/sweet van booked

•  Hog roast booked

 

•  Classic cars in the Norton's field being organised by Richard P. (22 booking forms).A circular ‘parade route' out of the field and up past the school was suggested by Richard G.

•  Hedge cutting –Stephen offered to organise this.

•  Traction engine booked

•  Produce bookings coming in.

•  Rides booked for school area

•  Barbour jackets - Kath T. to organise/finalise.

•  Alpacas – organised for Nikki's field.

•  Miniature horses – to be confirmed

•  Scarecrows – Charlotte organising - publicity required .( Dog show as previous minutes)

•  Art Group – Stewart to contact the secretary

•  Renewable Energy display possible

•  Bolam choir – as required on a rolling programme

•  Church Harvest Display – Abe.

•  Morris Dancers –Elizabeth

 

•  Bar – Tony Nixon does not wish to run bar but will help. Elliot to enquire re. licence requirement. Plastic glasses and chiller required. Richard G. suggested a small group possibly running the bar N.B.no room for bar in the hall.

•  Raffle –Stephen offered to organise – possible cash prize and will approach local merchants. Draw prize at 3.00 p.m. discussed.

•  Fun run –Richard S. organising. Free entry t.b.c, but show entry to be paid

•  Children's games -Julie

•  P.A. system booked

•  Entrance gates to be manned from 11.00 a.m. - 4.30p.m. Car parking free with hand stamps on payment of entry fee . Billy raised concerns on people gaining free entry e.g. nos. of those involved with vintage cars/wrestling.

•  Judges – Billy organising

•  Helpers – Sheila organising, based on previous lists –rotas required

•  School involvement (School stall) –Elliot to discuss with school re. their expectations re. takings

•  Band – colliery band booked

 

It was suggested that further discussions could take place between Sheila and Martin during August and that the next Village Hall Committee Meeting take place on the 8 th September with the Final Pre-Show Meeting on the 15 th September i.e.NO AUGUST MEETING. The 100 Club draw could take place at the Whist Club – Billy to advise Anna of the outcome. Stephen was aware of the forthcoming August letters.

 

AOB

 

•  Richard G. Suggested that the bar glasses needed re-organising and rationalising; Billy to check if there were still 2 boxes of glasses in store.

•  Emma attended and raised matter of table tennis table, football net and voting board. Billy can possibly remove the two former if not required. The board to be put in shed and Billy will raise the matter at the next Parish Council Meeting.

•  Emma agreed to open windows of Village Hall for ventilation

•  Weeds on patio –Billy to supply weedkiller.

•  Passageway wall – paint before show (Emma to check if paint in shed)

•  Emma agreed to help on show day
